Your Clients Are Anxious About World Events — Here's the 3-Move Script That Turns Panic Into Trust
Your phone is going to ring this week. Probably multiple times.
A client saw something on the news. A headline about conflict somewhere. A travel warning reshared on social media. And now they want to know: "Is it still safe to go?"
Here is what NOT to do: do not panic alongside them. Do not say "I don't know." And please, do not forward a news article and wish them luck.
That is not expertise. That is Google with a commission.
At AF Travel & Tours, we handle these conversations constantly — especially for clients traveling to Africa, the Caribbean, and other destinations where media coverage can be disproportionately alarming. Here is the exact framework we use every single time.
The Opening Line That Changes Everything
Before you dive into logistics, set the tone. Here is the script:
"That is exactly the right question to ask, and I am glad you are asking me instead of just reading headlines. Let me walk you through what we are actually looking at."
That single sentence does three things: it validates their concern, it positions you as the expert, and it signals that you have real information — not just opinions.
Move 1: Separate the Region From the World
Pull up the U.S. State Department travel advisory right there in the conversation. Show them exactly where the advisories are — and more importantly, where they are not.
Most clients do not realize that a conflict in one part of a continent has zero impact on a destination 2,000 miles away. When someone asks "Is Africa safe?" after seeing a headline about one country, that is your moment to educate with specifics.
For example: "Kenya is currently a Level 2 advisory — the same level as France and the UK. Your safari in the Masai Mara is completely unaffected by what you saw on the news about a different region."
Specifics kill panic. Vague reassurances fuel it.
Move 2: Redirect With Confidence
If there is a legitimate concern about their specific destination, do not hedge. Offer two or three alternatives with genuine enthusiasm.
"Here is what I would recommend: we shift your itinerary to [alternative destination] which offers a similar experience and is completely unaffected. I actually have a group heading there next month and the feedback has been incredible."
Confidence is contagious. If you are calm and certain, they will be too. If you hesitate, they will cancel.
This is where your expertise as a specialist matters. Anyone can Google "is Jamaica safe." Only a travel advisor who has been there, who has supplier relationships on the ground, and who monitors advisories daily can give a confident, specific answer.
Move 3: Close With the Insurance Conversation
Every single one of these conversations should end with travel insurance. Every time. No exceptions.
"This is exactly why we always recommend comprehensive travel protection. Let me make sure your policy covers [specific scenarios]. If anything changes between now and your departure, you are fully protected."
This is not a fear tactic — it is responsible advising. And it turns the anxiety conversation into a value-add moment where the client feels more protected, not less.
Why This Matters for Africa & Caribbean Travel
At AF Travel & Tours, we specialize in destinations that are frequently misrepresented in mainstream media. Our clients traveling to Ghana, Kenya, South Africa, Jamaica, and Barbados deserve advisors who can cut through the noise with real data.
The truth is: many of our top destinations carry the same State Department advisory level as popular European capitals. But the media coverage is not equal — which means your role as an advisor is even more critical.
The Bottom Line
Your expertise is not knowing that nothing bad will ever happen. It is knowing exactly what to do when something does.
Three moves. That is it. You go from fielding anxiety to demonstrating value in a single conversation.
This is what your clients are paying for. This is what separates a travel advisor from a booking engine.
